Personal data collected during the recruitment process
We collect and process personal data that you provide or that we obtain in connection with your application for a position at BearingPoint, which may include:
- Full name, identification, and contact details;
- Education, qualifications, certifications, skills, professional experience, and employment history;
- CVs, cover letters, work samples, application documents, and related submission date(s);
- Recruitment‑related assessments, tests, and surveys;
- Eligibility information (e.g. right to work in the country in which the position you are applying for is located);
- Disability-related information for which we need to make reasonable adjustments during the recruitment process;
- References from previous employers;
- Referrals from BearingPoint employees;
- Photos submitted as part of the application;
- Information from third-party sources such as LinkedIn;
- Your responses to questions from our recruitment department;
- Information provided by third-party placement agencies;
- Information obtained from third parties as part of background checks, where legally permissible;
- Any additional information you choose to provide during the recruitment process;
- Audio and video interview recordings (only with your consent);
- Interview transcripts (only with your consent).
We collect personal data when you:
- Apply through the Site, Service, or otherwise including your personal data yourself or through a third-party source such as LinkedIn;
- Use our Site, Service, or a third-party source such as LinkedIn to communicate with our recruitment department, providing your personal data.
We may contact you for recruitment purposes by using data we collected from third-party sources such as public websites and LinkedIn ("Sourcing"). Sourcing is manually performed by our recruitment department or automatically in the Service.
Data processing legal basis and consent
By submitting your personal data as part of a BearingPoint job application, you verify that the data you provide is accurate.
We process your personal data to:
- Check if you fulfil the prerequisites for entering into an employment relationship with us;
- Comply with legal obligations, such as checking if you legally have the right to work in the country in which the position you are applying for is located;
- Fulfil our legitimate business interests, including being able to manage the recruitment process, assess your suitability for the role, and decide whether to offer employment to you;
- Protect and enforce our rights, interests, and the interests of others, for example in connection to legal claims.
Depending on the circumstances, we store and process personal data on the following legal bases:
- your consent (e.g. providing personal data as part of your application, interview recordings, transcriptions, or retention for future opportunities);
- taking steps prior to entering into an employment contract;
- compliance with applicable legal and regulatory obligations;
- our legitimate interest in managing recruitment efficiently, ensuring Site and Service security, and assessing candidate suitability.
Where the storage and processing of your personal data for your application is based on our legitimate interests, we balance those interests against your rights and freedoms. We apply appropriate safeguards to ensure processing is fair, proportionate, and compliant with applicable data protection laws.
Where storing and processing of your personal data for the purposes of your application is based on your consent, you provide such consent by submitting your personal data and checking the box that you agree with this Statement. You are not obligated to provide any information or personal data to BearingPoint, however if certain information is not provided we may be unable to assess or progress your application. You may withdraw your consent at any time with future effect. The lawfulness of processing already conducted before the withdrawal will not be affected.
Data retention
Applicant personal data is retained for six (6) months from the date a decision is made on your application.
After this period, you may be invited to consent to the further retention of your data for consideration for future opportunities. You may revoke your consent at any time without giving reasons via the Service with future effect. Please refer to the “Your Privacy Rights” section below for more information.
If you accept a BearingPoint employment offer, personal data collected as part of your recruitment will become part of your BearingPoint personnel file, which will be retained for the duration of your employment and thereafter in accordance with applicable legal retention obligations.
Special categories of personal data
We do not intentionally collect special categories of personal data during recruitment.
Where strictly necessary and legally permitted (e.g. to provide reasonable accommodations), limited health or disability information may be processed with appropriate safeguards.
To the extent the personal information you voluntarily provide for recruitment contains details of your racial or ethnic origin; physical or mental health or condition; job evaluations or educational records; commission (or alleged commission) of an offence or related proceedings; political opinions or beliefs; religious beliefs; sexual orientation; membership of a trade union or political party, you explicitly authorise BearingPoint to process such data for recruitment purposes related to your job application.
Use of AI-enabled systems in recruitment
Where we process personal data using AI-enabled systems, we do so in accordance with applicable law and this Statement.
We may use AI-enabled features within our Site and Service to support documentation, transcription, summarisation, search, drafting, or translation of recruitment-related information. Where such tools are used, they operate within secure enterprise environments and are subject to appropriate access controls and safeguards.
At BearingPoint, AI-enabled features used in recruitment:
- are used primarily for documentation and administrative efficiency purposes;
- are not intended to be used to make decisions that produce legal effects or similarly significant effects on candidates within the meaning of applicable data protection law; and
- are subject to oversight by human recruiters.
AI-enabled features may, depending on configuration and local practice, support the following recruitment‑related activities:
- Interview transcription and summarisation - With your consent, recruitment-related interviews may be recorded and transcribed using AI to generate written transcripts and concise summaries (including topic overviews and speaking time statistics). This enables interviewers to focus on the conversation while accurately documenting discussions.
- CV parsing and candidate profile summarisation - When you upload a CV as part of your application, AI-enabled features of the Service may extract information contained within to populate your candidate profile. AI-enabled features of the Service may also generate brief summaries of your CV and of the written answers you provide to the application questions. These summaries are generated solely for administrative convenience, rely only on information you provide, do not influence any eligibility assessment, and do not replace a full human review of your application. Recruiters may also use the Service’s internal AI chat or search functionalities to navigate information already available in your candidate profile (the chat and search outputs are limited to data the recruiter is authorised to access).
- Content drafting and translation - AI-enabled features of the Service may support the drafting or translation of recruitment-related communications. All AI-generated content is reviewed and edited by a human recruiter before use.
Recruitment decisions remain the responsibility of human recruiters. Any output generated with the support of AI-enabled features is used as supplementary information and where appropriate may be subject to human assessment for accuracy, relevance, and appropriateness.
AI-supported interview recordings and transcriptions are carried out with your consent, or on another basis allowed under the applicable law or local legal requirements. Where using AI-supported interview recordings or transcriptions for the purposes of your application is based on your consent, you may withdraw it at any time with future effect. If you do not consent, interviews will not be recorded or transcribed using AI.
AI-generated materials (such as transcripts, summaries, or drafted communications) are stored securely as part of your candidate application file, are accessible only to authorised recruitment personnel, and are retained in accordance with our recruitment data retention periods.
AI‑enabled features are not used to carry out automated decision-making with legal or similarly significant effects on candidates. Appropriate human oversight is applied to our AI‑supported recruitment processing activities.
Secure personal data transfers, recipients, and third parties
We do not sell, disclose, or otherwise transfer your personal data to unauthorised third parties.
When you apply for a BearingPoint vacancy, we may share your personal data for recruitment-related purposes with:
- BearingPoint group companies to consider you for open positions;
- Trusted contractors, sub-contractors, service providers, and suppliers acting as our processors and sub-processors on our instructions;
- Public authorities or legal advisers where required by law or necessary to protect legal rights, for instance in cases where criminal or improper behaviour is suspected, or the relevant authorities submit a mandatory request.
All processors are subject to appropriate contractual and security obligations.
If you apply for a BearingPoint position based in a country other than your home country, please note that the applicable data protection laws may differ from those of your home country.
In cases when EU data protection laws apply, we make efforts that personal data is processed within the EU/EEA or in non-EU countries considered by the European Commission to have adequate levels of protection. We also may engage service providers located in non-EU countries without an adequacy decision who have appropriate safeguards required by applicable law (e.g. certifications, EU Standard Contractual Clauses) to protect the rights of data subjects whose data is transferred.
